MileVault Privacy Policy

This policy explains what information the MileVault app collects, why, and the choices you have. MileVault is operated by OKM Database Solution Inc., Mississauga, Ontario, Canada.
Information we collect
- Account information: your name, email address and password (stored only as a secure hash), country, and optional home address.
- Location: when automatic trip detection is turned on, MileVault uses your device's location, including in the background, to detect when a drive starts and ends and to measure its distance. We store the start and end points, addresses, times and distance of each trip. We do not store a continuous record of your movements outside of trips.
- Trip and expense details you enter: purpose, notes, vehicles, saved places, workplaces, fuel, odometer, parking and toll entries, and receipt photos you choose to upload.
- Device information: device type, operating system and a push-notification token, used to run the app and send trip notifications.
How we use it
- To record your trips and expenses and produce the logs and reports you request.
- To send you trip summaries, report emails and account messages.
- To provide support and keep the service working and secure.
We do not sell your information, and we do not use it for advertising.
Service providers
We share information only with providers that help us run MileVault, and only as needed for that purpose: cloud hosting and database storage; Google Maps (addresses and distances) and Google Cloud Vision (reading receipts you scan); Stripe (subscription payments — we never see or store your card number); Brevo (email delivery); and Expo (push notifications). If you choose to send a report to your accountant, we email it to the address you provide.
Retention and deletion
We keep your information while your account is active. You can edit or delete individual trips and expenses in the app. To delete your account and its data, email us from your account email address and we will delete it within 30 days, except where we must keep records by law.
Your choices
- You can turn automatic trip detection off at any time in the app, or remove location permission in your device settings.
- You can ask to see or correct the personal information we hold about you.
Security
Information is sent over encrypted connections (HTTPS) and stored with access restricted to authorized staff.
Children
MileVault is intended for adults and is not directed at children under 16.
Changes
If we change this policy we will update the date above and, for significant changes, notify you in the app or by email.
